We are introducing a new option to share and adopt specs between accounts using a Unique ID.
Key Capabilities:
-
Switch to External Specs: Accounts can now adopt specs shared with them via a Unique ID or choose from available Public Specs.
-
Share Specs: Accounts can share their specs by providing their Unique ID privately to another account.
How It Works:
Navigate to: Company Settings → Company Specs (new section below Produce Selections).
Your account is already using external specs:
-
The section will display the currently used external specs.
-
You will have the option to Reset and disconnect from the external specs (existing inspections will remain, but the specs will no longer be visible).
-
You may also choose to copy the external specs into your custom specs, enabling further editing (Existing inspections will not be linked to the newly copied specs).
Your account is not yet using external specs:
-
Two buttons will be available: Share and External Spec.
Share:
- View and copy your account’s Unique ID to share privately with other accounts.
- Alternatively, you may request to publish your specs for all Clarifresh users by opening a support ticket. (Published accounts cannot switch to external specs.)
Switch to External Spec:
- Click the External Spec button to open a dialog with two options:
- Use Unique ID — Enter the received Unique ID, click Validate, and confirm.
- Choose Public Spec — Select from an available list of public specs.
Important Confirmation:
When switching, the user must confirm the following message:
"You are about to replace your current Specs with {{client name}} Specs. This action will override your existing settings and disable the ability to create or edit custom Specs."
Meaning:
- The user’s current custom specs (if they exist) will be deleted from the account.
- After the switch, the account will use the specs provided by {{client name}}.
- The ability to create or edit custom specs will be disabled while the account is linked to the external specs.
Impact on existing inspections:
- Existing inspections will remain in the system.
- However, these inspections will no longer be linked to any specs (neither the deleted custom specs nor the new external specs).
Your Specs Are Public to All Clarifresh Users
-
A globe icon will appear next to your sharing status, indicating that your specs are publicly available to all Clarifresh users.
-
If you wish to switch to private sharing, you can request the removal of public access by opening a support ticket.
Note: Accounts already using your specs will remain connected and unaffected. -
To share your specs privately, send your Spec Unique ID to the intended account so they can use it as an external spec.
Your Specs Are Privately in Use
-
A Share button with a lock icon will appear, indicating that your specs are being used by one or more specific accounts via private sharing.
